TESSR Guidelines: How to Use "Planning" - TESSR Updates

How to Use "Planning" - TESSR Updates

TESSR Update - What are its usages?

What are TESSR Update usages?

*Note that the TESSR Update module is only available for: Process Supervisor & Process Leads | Production Supervisor & Production Managers

The Update module is a designated page for the efficient updating of a selection of scenes. In TESSR’s characteristic Tile-based view, users can see multiple scenes in a small space, making it easy to find the scenes needing updates.

It should go without saying that an important aspect of project management is planning—and with the Update module, users are able to assign tasks, alter metrics and set start/due dates. That, alongside a birds-eye view of scenes and their important details, visualising and adjusting the timeline of a project plan is more convenient.

But how exactly can you do this? Let’s go over each detail in the Update module!

The Left Side of the Screen: Scene Grid

1. A Tile’s Three Dotted Menu

A Tile’s Three Dotted Menu at TESSR

A Scene Tile in TESSR refers to a Scene’s visualised details, in tile form. Tiles would reflect the colour of its assigned status and display other details, depending on personal preferences. Each Scene Tile has three dots in the upper right corner, that offers the following:

  • Open in TESSR Review: This would redirect you to another module, that allows you to review scenes. TESSR Review is equipped with Annotation tools, extensive Commenting options and more. This pop-up allows for easy and quick access to any specific scene that calls for your attention, like one with a “Ready to Review” status assignment.

  • Scene Log: The Scene Log is a record that keeps tabs on a Scene’s User activity. To elaborate further, an automated log entry should detail information like; a User's name, a before and after of changes made, and its timestamp.

  • Scene Properties: This is to view the rights or permissions of a scene, listing out its assignees, observers and playlist status. This feature helps TESSR’s team obtain necessary information if any user issues are reported.

2. Search

Search mode in Updates

It would not be unlikely to have a take with numerous scenes, and even in a tile-based, visually centric view—it can be hard to find an exact scene after a long day at work. Simply search for a specific scene, it’s faster this way!

3. Refresh & Select All

Refresh & Select All feature

Instead of refreshing the entire page from the in-built browser reload, simply click on the icon across the Search bar to check for any changes.

Right next to the Refresh icon is the Select All/Unselect All toggle. If you have twenty or less scenes, you’re able to open all individual TESSR Review tabs. But that’s not it—you can mass update Scene Tiles according to Assignee, Status, Metric and Date.

4. Sort & Filter

Sort & Filter in Updates

For your own convenience, you can sort or filter your Scene Grid. While it is good to have an overview of things when planning, it is just as important to stay focused and be in tune with the details.

Sorting

You can sort scenes in either Ascending or Descending order, according to the following options:

  • By Scene: Sort numerically and alphabetically, according to the name of scenes in a take. If you choose to sort this in Ascending order, it will place numbers first and alphabets after.

  • By Status: Sort tiles by their Status, according to the Status’s place in a timeline. For example, if we were to sort the Scene Grid by Ascending Statuses, the first tile could be “Open” Scenes while the last could be “Approved” scenes.

  • By Assignee: Sort tiles by Assignees in alphabetical order.

  • Clear: Remove any sorting settings in place.

Filtering

You can filter scenes through six (6) different criteria. If you choose to filter by two or more options, the “and” and “or” toggles come into play. The “and” toggle will only show scenes that simultaneously all the filters you have set, while the “or” toggle will show scenes that have at least one of the filters you opted for. Here are the six (6):

  • Status: Filter the Scene Grid to only show scenes with a certain status.

  • Assignee: Choose to only view scenes that have particular individuals assigned to it.

  • Created By: TESSR records who created what—and if you wish to only see the scenes made by certain people, filter away.

  • Created On: Simply set a range of dates, to view scenes created within the timeframe you have adjusted to.

  • Last Updated On: Similarly, you may also set a range of dates here. This time, it will filter out scenes that have update periods that outlie the times you seek.

  • Archive: Toggle the Yes or No checkboxes, to choose if you prefer to view archived scenes.

  • Clear All: Remove every filter you have added onto the Update module.

5. Preferences

There are three main types of display options to choose from, that will restructure your Scene Grid visuals according to personal preferences.

SMART

SMART preference as the Update module’s default

The SMART preference is the Update module’s default. The SMART tile dynamically displays the recently updated metadata field. For instance:

  • If the date was most recently updated, the tiles will refresh and display the updated dates for all scenes.

  • If the latest update was to the frames of a scene, then the grid will show the updated frames.

Small

Small Tile form

Choosing to view your scenes in a Small Tile form, allows you to choose to see the thumbnail of a scene, and two (2) display preferences. You can select and display two (2) out of nine (9) elements: NONE, NAME, ASSIGNEE, START & DUE DATE, CODE, START DATE, DUE DATE, FRAMES and SECONDS.

Large

Large tile form in TESSR Updates

Much like the Small Scene Grid, you can also choose to display a scene’s thumbnail. However, the Large Scene Grid fits less in a single screen—but has room to display more options. You have four (4) slots to see from these nine (9) elements: NONE, NAME, ASSIGNEE, START & DUE DATE, CODE, START DATE, DUE DATE, FRAMES and SECONDS.

6. Open In

Multiple options to open scenes

To better efficiency, TESSR provides multiple options to open scenes in the following:

  • Open in TESSR Review: Similar to the previous “Open in TESSR Review” function, this will redirect you to a new tab with the Review module on it.

  • Open in Project Directory: This leads you to open the scene on the Project Directory page, which can also be found under the Planning tab.

  • View Woohoo Details: This redirects you to the Woohoo module, under the Planning tab as well. The Woohoo module is a tool that provides information on the weighted completion percentage of projects, allowing leaders and teams to easily track progress.

The Right Side of the Screen: Update Action Icons, Work Distribution and Woohoo

1. Focused Updates

Focused Updates in TESSR

Instead of manually updating details of a scene individually, when one or more scenes are selected, you can choose to singularly or mass update its:

  • Assignees: From the drop-down list or by searching, you can assign a scene to individuals you oversee. Alternatively, you can also remove all the assignees of a scene with a click of a button.

  • Status: Update the statuses of scenes swiftly, by either clicking an option from the drop-down or through a manual search.

  • Metric: Alter the metrics of a scene. For example, if a Take’s metric is set to “Frames”, you can enter or edit the number of Frames in a scene.

  • Date: Update the start and due dates of your selected scenes here.

2. Overview

Overview work distribution and Woohoo rates.

Besides the Update action icons, you can view a take’s overall Work distribution and Woohoo rates.

  • Work Distribution: This section lists all the assignees that are working on a take, alongside bars that display: The total number of seconds of animation assigned to them and the total they have completed. Just from this data, you can check on a person’s workload and their efficiency—you can avoid distributing more tasks to someone with a lot on their hands or check on members who seem to be struggling with their progress.

  • TESSR Woohoo: This section displays donut-chart Woohoo metre, according to the current statuses of scenes in a take. Gauging the progress of a project to ensure timely completion, becomes slightly easier with this visual and numerical aid.

Conclusion

This module is not the only feature that the Updates Tab has to offer—it’s only one part of the app, after all. TESSR centralises a studio’s essentials, so stay tuned for the next instalment, to find out what else we have in store for your project management needs.
